UBCBulletin Updates for leadership

Key dates to be aware of in preparation for the launch of Workday

This message was sent to executive, deans and other senior academic leaders, academic heads, directors and managers, and senior professional leaders in Vancouver and the Okanagan.

August 31, 2020

In preparation for the launch of Workday on November 2, the Integrated Renewal Program (IRP) has been planning out the key milestones to transition from our current Finance and HR systems to Workday.

The transition plan has been built in consultation with faculty and staff to ensure minimal disruption where possible. However, the transition to Workday does require you to work around a series of careful steps. You and your teams will need to be aware of the deadlines for entering information into our current systems, as well as the dates and times when our current systems will be unavailable.

For example, one of the first deadlines is September 24. After this date, faculty and staff will not be able to update their personal information using Employee Self Service until Workday launches on November 2.

The ‘Prepare for Go-Live’ page on the IRP website outlines all the deadlines for entering information in our current systems. It also outlines any periods of system downtime and the interim processes that will be in place during those times. The interim processes will allow for operational continuity as we transition from our current systems to Workday. We encourage you to visit the ‘Prepare for Go-Live’ page using the link below so that you and your teams know what to expect prior to launch:

The key milestones have been mapped out to help you minimize the disruption to your team’s day-to-day work and help ensure that you and your teams are aware of the actions that will need to be taken during this critical transition period.

Thank you in advance for your support in building awareness and planning for this important transition with your teams.

For any questions, you can contact the IRP team via ServiceNow by visiting https://irp.ubc.ca/contact.
